Welcome to Williams College

As a new or returning employee, we ask that you complete the following forms prior to but no later than your first day of employment by coming to the Human Resources office at 100 Spring Street, Suite 201, Williamstown, MA 01267.

Getting Started

The first step is to activate your Williams account. You may have already or soon will receive a welcome email from our identity manager Okta. Please follow the link in that email to activate your Williams account. The link expires after 7 days so please follow the link now even if your start date may be in the future. If you do not receive the email from Okta, please contact the OIT Client Services Staff at [email protected] who can assist.

Workday Self-Service

Workday is the new tool the College uses to store and organize information and data so that we can conduct business—everything from recruitment to payroll.

Log into Workday with your Williams username and password. You can also download the mobile app in the App Store or Google Play Store.

In Workday, you can manage your personal information including Home and Mailing Address, Main and Campus Emergency Cell Phone Numbers, and Emergency Contacts. You will also be able to submit and manage your Payroll and Compensation information including Direct Deposit, Federal W-4 Tax Withholding and Massachusetts M-4 Tax Withholding online forms. You will be able to view copies of your paycheck and year-end W-2 forms here as well.

Please complete all the tasks “Awaiting Your Action” displayed on your Workday homepage when you log in.

Workday Help Articles

There are step-by-step instructions available to guide you through Workday tasks. Log in to Workday, open the Menu in the top left corner, and then select the Help application. You can also type to search for the task you want to complete.  e.g. edit preferred name, enter my time, payment elections.

Employment Eligibility Verification Form

The Employment Eligibility Verification Form I-9 is a U.S. Citizenship and Immigration Services form. It is used by an employer to verify an employee’s identity and to establish that the worker is eligible to accept employment in the United States.

  • You will fill out the I-9 Form online by logging into WorkDay and completing the Form I-9 task awaiting your action.
  • You will need to visit the Human Resources Office in person to provide original, non-expired documentation from the List of Form I-9 Acceptable Documents within your first three days of employment.
  • If you are unable to be on campus by your first day, you can contact Anna Cuéllar-Parajón (x4075) for assistance with completing a reciprocal I-9 near your location.

Harassment and Discrimination Prevention Modules

As part of our commitment to providing a safe and healthy workplace, we have an online training program to provide you with information about harassment, discrimination, and sexual violence.  Please log in to the Learning Portal with the login information provided in your Welcome Email.  Once logged in you will complete the following:

  • Mosaic:  Prevent Discrimination and Harassment:  Faculty & Staff
  • Mosaic:  Prevent Sexual Violence Together

Please complete these important training programs after your employment start date to finish your orientation with us.

Payroll Information

Hourly staff are paid biweekly every other Friday. Please see the payroll calendar for the first pay date.

Campus Access

  • ID Cards
    The Campus Safety Services Office issues photo ID cards for students, faculty, staff, temporary workers and community members. ID cards may be obtained during regular hours: Monday-Friday, 8:30 a.m.-4:30 p.m.
    A photo (jpg format) no larger than 2mb shall be submitted to: css-access​@williams​.edu. The photo should be a color photo, headshot only, with a white background and no hats or sunglasses should be worn. You will be notified via email when your card is available for pickup.
    If you lose your ID card, you may have it replaced for a $15 charge.
